How to Run a School Hair Bow Fundraiser (Step-by-Step).

A custom hair bow fundraiser is a simple, low-risk fundraising idea for PTOs, PTAs, cheer teams, booster clubs, dance teams, private schools, preschools, and other school organizations. Instead of a generic fundraising product, your school offers families custom school spirit bows designed specifically for your school or team.

The best part: there are no upfront costs to launch. The Hair Bow Company designs your bows and provides digital mockups at no upfront cost, so your organization can promote the designs, collect preorders, and know exactly how many bows you've sold before submitting the production order. No guessing at inventory, and no buying hundreds of bows before you know families want them.

This guide covers how to run a school hair bow fundraiser from start to finish: how many styles to offer, how long to run it, how to promote it, how to price it, and how the custom bow process works.

How a school hair bow fundraiser works

The whole process runs on preorders, in six steps:

  1.  Choose your bow styles. Tell us what you'd like to offer — we'll help you pick the styles most likely to sell for your school or team.
  2.  We design your bows and send digital mockups at no upfront cost. Send us your school colors, logo, mascot, initials, team name, or design ideas, and we create the mockups you'll promote with.
  3.  Promote the fundraiser and collect preorders. Families order and pay your organization directly, through whatever ordering method you choose.
  4.  Close the fundraiser and submit final quantities. Because you collected orders first, you know exactly what sold. Each design must reach the 12-bow minimum to go into production (more on that below).
  5.  Place the production order. Per-bow pricing for fundraisers is on our quote page.
  6.  Production and delivery. Typical turnaround is about 4–6 weeks from payment. Fundraiser orders ship in one bulk shipment to your school - free over $150, or a flat $8.99 under that - so you hand the bows out on site.

Because you promote from the digital mockups, you never wait on physical product to start selling and you only produce what families already bought.

Why hair bows make a good school fundraiser

The strongest fundraisers offer something families actually want. Custom school bows combine school spirit with fundraising: students wear them for spirit days, football games, pep rallies, cheer competitions, school photos, homecoming, field day, and everyday school wear. Unlike most fundraising products, the bow keeps getting used long after the fundraiser ends. Families aren't just donating — they're buying spirit wear their child will actually wear.

Who can run one

Custom bow fundraisers work for PTOs, PTAs, elementary, middle, and private schools, preschools, cheer and dance teams, booster clubs, youth sports teams, grade-level groups, school clubs, and spirit stores. The fundraiser can be school-wide or limited to a single team or group — tell us about yours and we'll help you plan it.

The 12-bow minimum, and how it shapes your assortment

Our custom minimum is 12 bows per design, and it applies to each design separately. This is firm: if a style doesn't reach 12 preorders by the time you close, that style can't go into production.

That one rule drives your whole plan.  The number of styles you offer should match the size of your audience, so every design clears 12. A cheer team of 20 should offer one or two strong designs; a school of several thousand can safely offer more. When in doubt, fewer designs with more orders each beats many designs that risk falling short.

How many styles should you offer?

Match the assortment to the size of your community:

  •  Small groups (cheer/dance teams, preschools, single grade levels, small private schools): 1–2 styles. One strong design is often plenty.
  •  Medium schools: 2–4 styles. For example a classic school bow, a printed mascot bow, a cheer bow, and a coordinating headband.
  • Large schools (several thousand students): 5–8 carefully chosen styles. With multiple grade levels and age groups, variety increases participation because different families want different sizes and looks.

Larger doesn't mean random; the collection should still feel cohesive and clearly tied to the school. As proof that big assortments work: we recently worked with a school community of about 7,000 students that offered eight styles and sold more than 700 bows. Large schools shouldn't automatically limit themselves to one or two designs.

To choose well, think about who's actually buying: the age range, whether younger students wear bows, whether older students might prefer a headband, and how big cheer and game-day culture is at your school.

What can go on a custom school bow

We can build your design around school colors, initials, mascot names, team names, logos, simple mascot artwork, embroidered wording, printed patterns, and coordinating ribbon colors. The strongest designs are recognizable as your school but versatile enough to wear all year — a bow that works for games, pep rallies, spirit days, and everyday wear will outsell one tied to a single event.

Printed vs. embroidered: embroidery suits initials, short school or mascot names, and clean classic lettering for a polished, traditional look. Printed ribbon suits repeating logos, mascot artwork, multicolor and more detailed graphic designs. We'll recommend the best method for your artwork when we design your mockups. You can see examples of both on our custom hair bows page.

How long to run the fundraiser

For most schools, run the active selling window about 7–14 days — long enough for families to see it several times, short enough to keep urgency. A window that stays open too long invites "I'll order later," and later gets forgotten.

A 10-day fundraiser is a reliable sweet spot: room for multiple reminders, two weekends if you time it right, and a clear deadline. A simple 10-day rhythm:

  • Day 1 — Launch: announce everywhere, with mockups, pricing, ordering link, the goal, and the closing date.
  • Day 3 — Reminder: share again; spotlight one or two styles.
  • Day 5 — The goal: remind families what the fundraiser supports.
  • Day 7 — Weekend push: "closing soon."
  • Day 8 — Best-seller: ride momentum on whatever's selling well.
  • Day 9 — 24 hours left.
  • Day 10 — Last chance: post morning and evening ("orders close tonight").

How far ahead to start

Custom bows need time for ordering, production, and shipping — about 4–6 weeks from payment, on top of your selling window. So if bows are needed for a specific date, count backwards and start early, especially for Back-to-School, football season, homecoming, spirit week, cheer competitions, and fall events. If you have a date in mind, start your fundraiser request early so we can hit it.

A sample timeline for an October event:

  • Early August: choose styles, send design info.
  • Mid-August: receive mockups, build your order page and promo.
  • Early September: run the fundraiser (7–14 days).
  • Mid-September: submit final quantities and place the order.
  • October: bows arrive and you distribute.

How to price your fundraiser

Your organization sets the selling price and keeps the difference between that price and your bow cost, after any payment-processing fees. Sell hundreds of bows at a few dollars of margin each and the fundraiser generates meaningful proceeds without asking families to buy anything expensive. Higher-volume orders may also qualify for better pricing — see the quote page for fundraiser bow pricing.

Keep it simple — one clear price per style is easiest for parents and volunteers. If you offer several designs, bundles (any-2, a bow + headband, a "sister set," a game-day set) can lift the average order, especially for families with more than one child at the school. Just make sure bundles still protect your margin.

What should the fundraiser support?

Families participate more when they know exactly what their purchase funds. Instead of "Support our PTO," try "Every school bow helps fund teacher appreciation and student programs this year," or "Help our cheer team cover competition costs this season." Common goals: teacher appreciation, classroom supplies, technology, library programs, cheer uniforms and competition fees, team travel, field day, school events, and booster programs.

How to promote a school hair bow fundraiser

Don't rely on one announcement — most families need to see a fundraiser several times before ordering. Use a few channels, with different messages each time:

  • School email: a short, visual email at launch (mockups, goal, pricing, link, deadline) and a reminder before it closes.
  • PTO/PTA Facebook page: post several times — launch, style spotlight, the goal, best-seller, deadline, final day — and ask families to share.
  • Parent Facebook groups: grade-level and school parent groups reach anyone who missed the main announcement.
  • Instagram: feed posts, Stories, Reels, countdown stickers, and a carousel showing every style.
  • QR codes: one code straight to checkout, on flyers, newsletters, game programs, front-office and event signs.
  • Parent messaging apps: short reminders, especially in the final 48 hours.
  • School events: promote at games, pep rallies, festivals, open houses, and registration with a printed mockup and QR code.

Aim for about 5–7 meaningful touches across the window, not seven identical posts. Once you have real numbers, use milestones as social proof — "100 bows sold!" or "250 sold — can we hit 300 by Friday?" — which makes a large-school fundraiser feel like a school-wide event.

Two content tips: because you have the digital mockups up front, you can start promoting immediately without waiting on product. And once bows arrive, quick real photos — cheerleaders in matching bows, a student in a spirit shirt, a ponytail shot from behind, a group photo at an event — are some of your strongest promotion. No professional shoot needed.

How the bows get to your school

Fundraiser orders ship together in a single bulk shipment to your school or organizer — free on orders over $150, or a flat $8.99 below that — and you distribute to families on site. There's no per-family shipping to manage, which keeps things simple for your volunteers.

Should you order extras?

The preorder model exists to avoid excess inventory, but after you see real results you may add a small number of extras to the production order — based on actual sales, not guesswork. If one style clearly outsells the rest, that's the one to add extras of. Extras sell well later at games, registration, festivals, spirit week, and the school office.

Best bows for PTO/PTA and cheer fundraisers

For PTO/PTA fundraisers, versatile spirit designs work best: a classic school bow (broadest appeal, worn all year), a printed mascot bow, an embroidered school bow, a larger game-day bow, and a coordinating headband for older students or girls who don't usually wear bows.

For cheer fundraisers, teams can sell to their own members or to the wider school: a traditional or school-color cheer bow, a printed mascot cheer bow, an embroidered team bow, plus a smaller coordinating bow so siblings, younger students, and fans can join in too.

Common mistakes to avoid

  • Too many styles for a small audience — every design needs 12 orders; don't offer more choices than your audience can fill.
  • Too few styles for a very large school — thousands of students can support a broad, well-chosen collection.
  • Running too long — 7–14 days with a firm deadline beats an open-ended sale.
  • Promoting once — plan 5–7 touches.
  • Starting too late — leave 4–6 weeks for production on top of the selling window.
  • Complicated ordering — use one primary method and one direct link.

A simple fundraiser formula

For most PTOs, PTAs, and teams: 1–8 carefully chosen styles (sized to your audience) · no upfront inventory · free digital mockups we design for you · a 7–14 day preorder · simple pricing · one direct ordering link · 5–7 promotional touches · a clear deadline · a specific goal. Match the size of the assortment to the size of your school.

Frequently asked questions

Is there an upfront cost to start?
No. We design your bows and provide digital mockups at no upfront cost, so you can promote and collect preorders before placing the production order.

Do we have to buy inventory before we sell?
No. Run it as a preorder, collect orders first, then submit the final quantities sold.

Who creates the bow designs?
We do. Send us your colors, logo, mascot, or ideas and we design the custom bows and mockups for you.

What's the minimum order?
12 bows per design, applied to each design separately.

What if a design doesn't reach 12 orders?
That design can't go into production, so plan your number of styles around your audience size. If a style falls short, families who ordered it can be refunded or moved to another design.

How many styles should we offer?
Small groups: 1–2. Medium schools: 2–4. Large schools (several thousand students): 5–8. One ~7,000-student school offered eight styles and sold 700+ bows.

How long should we run it?
About 7–14 days for most preorder fundraisers.

How long do the bows take?
About 4–6 weeks from payment.

How do the bows get to us?
They ship in one bulk shipment to your school — free over $150, or a flat $8.99 under that — and you hand them out on site.

Can we use our school logo or mascot?
Yes — send your logo, mascot, colors, initials, or wording and we'll design around it, recommending printed or embroidered based on the artwork. You'll need authorization to use your school's name and logo.

Can cheer teams run their own fundraiser?
Yes. Cheer and dance teams, booster clubs, PTOs, PTAs, schools, and youth organizations can all use custom bows to fundraise.

Can we offer both bows and headbands?
Yes — a headband broadens appeal to older students and girls who prefer them over bows.
